I am a DOS. Why has my roster been edited by the Staffing Team?

The Staffing Team may adjust rosters for a range of operational and compliance reasons. Our priority is always to keep services compliant and safely staffed.


Child numbers / ratios
Shifts may be added or reduced based on current booking numbers to maintain legal ratios. Overstaffing is not permitted unless approved via an RM Request Form. When changes are required to meet legal ratios, Staffing does not need to confirm with the service first.


Educator availability changes
If educators drop shifts at short notice (OTD), other staff may need to be moved to cover gaps. If an educator cannot attend, the roster may be adjusted to ensure the shift is still covered.


New onboarding educators
New casual educators may be added where there are gaps in your region’s roster. Onboarding shifts may temporarily change existing allocations to ensure services remain compliant and new educators receive appropriate onboarding support.


Service requests or special requirements
Some services require specific staff or extra coverage (e.g. high-needs children, excursions, licensed spaces). Rosters may be edited to accommodate early starts, late finishes, or service-specific needs.


Staffing emergencies / last-minute changes
Adjustments may be needed when staff call in sick, go on leave, or do not show up. The goal is always to maintain ratio and service compliance first.


Shift bids / Fill-Ins
If an educator bids for a shift or becomes unavailable, the roster may change to allocate available staff. Educators that were cancelled from their shifts are prioritised where possible, but if they do not respond in a timely matter, another educator may be placed.


Communication & operational efficiency
Service preferences are considered only if roster notes or requests have been communicated in advance. This needs to be done via the RM Request Form. Please reach out to your RM for assistance.
